Administrative Assistant
St. Ann Parish in Ancaster is looking for a full time Administrative Assistant for the church office. Reporting to the Parish Priest, this position offers a competitive rate of pay and benefits package. Weekly schedule is Monday through Thursday 8:30 a.m. – 4:30 p.m., and Fridays 8:30 a.m. – 12:00 p.m. (Some flexibility required). Tentative start date is July 4, 2023.

Primary responsibilities- Greeting visitors, handling phone calls, directing inquiries to appropriate individuals.
- Completion of Bulletin Board and updating it as needed.
- Create correspondence on behalf of the priest.
- Entry of weekly parish donations in the Donations register and issuing yearly tax receipts.
- Maintaining pre-authorized deposits listing.
- Maintaining and updating Parish website.
- Maintaining and updating Parish calendar of events in the church
- Bookkeeping: To ensure accurate accounting for Parish General Account, Mass stipend account and petty cash account, and any other accounts, as directed by the Pastor.
- Recording Mass intentions, Sacramental registration information and issuing Sacramental certificates (Baptism, Confirmation, Marriage).
- Completion of Schedules for Parish Priest as required.
- Maintaining and updating Parish calendar of events including school masses.
- Maintaining and updating Parish website and exterior electronic sign.
- Order supplies for the office and Parish as needed.
- Other duties as assigned by the Pastor when required.
Requirements
- Post Secondary education in a relevant field preferred.
- Advanced knowledge of Microsoft Office QuickBooks.
- 2-3 years of prior secretarial/office experience preferred.
- Knowledge and experience in bookkeeping and PDS (Parish Data System) considered an essential asset.
- Strong attention to detail, and ability to organize and prioritize efficiently.
- Strong Communication and interpersonal skills.
- Ability to work independently and follow instructions.
- A good understanding of and respect for Catholic Doctrine, Liturgy and practice.
